Make collaboration work with Singtel ONEOffice
By the myBusiness techblog team
More and more office workers are becoming mobile today. How can companies ensure that they do not become disconnected from the business while on the road? Online collaboration and office productivity solutions such as Singtel ONEOffice (powered by Google Apps) provides access to office software through the convenience of a Web browser. Additionally, the software allows multiple users to collaborate together on a document, without having to be in the same room.
These tools include email to online document sharing and editing. These are robust for use in business environments, but with the convenience of the cloud's access-anywhere, anytime model. Here are a few quick tips and examples of how your business can get started on ONEOffice.
1. Flexibility to add/remove users - freedom to scale
One thing that can be tedious for office IT managers is the need to add or remove users as staff move in and out of the company. Beyond the manual process of adding and removing user accounts, they have to also consider the amount of storage to each account.
A benefit of having a cloud-based solution is that the process of adding and removing user accounts can be done relatively easily. This allows administrators to scale up or down, without the need to disrupt systems running. Each user is also allocated with 25GB of cloud storage.
If a user needs to manage several aliases, which are separate e-mail addresses that business contacts can send mail to, you can also easily assign them to particular user, without having to start separate user accounts.
2. Stay connected via email… even when you're offline
One big advantage of moving to ONEOffice is its compatibility with a wide variety of email clients. It works with existing mail apps and migration is usually easy, so you don’t have to deal with the pain of learning new software.
All you have to do is sync up the mail from ONEOffice servers with clients such as the built-in apps on phones, or mail clients on desktops. Also, users can access their email with just a standard Web browser, if they wish.
What happens when you're on a plane and need to spend some time clearing e-mail on an 18-hour flight? Despite being an online tool, OneOffice enables you to stay connected all the time. Just download the Offline Google Mail app for the Chrome browser and it will pull email onto your laptop. While offline, all the new messages you type are saved. They are then sent the moment you get online again.
3. Share your calendar and files to collaborate online
A group calendar can be set up for members of, say, a sales team to share schedules, work plans and targets. Events and deadlines can be clearly marked out and each member can easily see when a modification is made. As a virtual collaboration tool, this helps keep all staff on the same page for a project, and to make sure that everyone is keeping to schedule.
The ability to share documents online and in real-time, lets users to open, edit and share your Word, Powerpoint and Excel documents online with teammates, so you don’t have to keep downloading and sending updated versions of the same document to fellow users. This is particularly useful when users need to collaborate and track changes on co-created documents.
There are other features such as online eFax and eSMS (only available in Singtel ONEOffice), chat features to allow collaborating users to discuss work while editing documents, and even create websites.
